The classroom on the upper floor was viewed as being too far from the rest of the conference, somewhat inaccessible and too small a room to accommodate some of the talks.

Followup: The venue for WCMTL 2016 will have 2 rooms capable of accommodating 150 each, and a larger amphitheatre of up to 300 people. The footprint of WCMTL 2016 will be more condensed than previous years, with everything closer together.

The food was deemed to be ‘great’ as always.

Followup: Concordia’s caterers will be used again this year.

Plans for WCMTL 2016

The John Molson building at Concordia is the proposed venue for WCMTL 2016 and contract negotiations are underway. The proposed date is July 23 – 24.

Proposed WCMTL 2016 budget

The proposed budget for WCMTL 2016 was shared and a discussion had over the various options. The ‘framework’ of WordCamp Central and global sponsors was explained, as the emphasis this year on finding more local sponsors. The individual components of the budget were walked through and elaborated on as necessary. Everyone present was in general agreement with raising the price to $50, suggesting it to be very good value for money, and it was proposed that 100 early-bird tickets be made available at $40 to encourage early sales and still keep it affordable.

Followup: A stronger emphasis will be put on advertising WCMTL 2016 with a view to increasing ticket sales by 50 to 450 people. Suggestions for local sponsors will be continually sought and the suggestion of early-bird tickets will likely be adopted.

Ticket price and sales

A discussion was had on how to boost ticket sales and reach new demographics. Suggestions included:

trying to get the event included on businesses training lists

sending a mailout to Montreal based agencies and companies doing web design to try to reach their staff

paying for Facebook ads

designing and distributing a printable flyer for company staff rooms

creating an infographic to share on social media

Followup: Options for disseminating information about WCMTL 2016 will be investigated, as will the possibility of adding an advertising budget for Facebook ads or the like. A ‘print out’ will likely be designed along with the usual printable materials.

Workshop Week

It was agreed that the hands-on workshops were generally well received by those who attended, but that the ~50% no-show rate was high. Options were explored for holding the workshops at a different time of year, but it was agreed that the couple of weeks before WordCamp were the most optimal for organizers, facilitators and attendees. A discussion was had on how to encourage better attendance, including raising ticket prices, having a 2 tier ticket system, offering an incentive to those who attended.

Topic

WordPress for Beginners

Discover the World of OOP

Intro to WordPress Theme Building

Develop your First WordPress Plugin

Let’s Install Vagrant

Enrollment

23 (sold out)

28

35 (sold out)

26

35 (sold out)

Attended

13

15

14

16

12

Turnout

56.52%

53.57%

40.00%

61.54%

34.29%

Followup: The consensus seemed to be to keep to a single ticket price that includes the workshops, as was done last year, and to focus on reducing no-shows.
